Bookings
Take private bookings
Set up the rooms and packages guests can book, understand what makes a night bookable, and share your booking link.
A guest opens your booking link, picks a night and a package, enters their details and pays the deposit. Depending on the package, the booking is confirmed on the spot, waits for your approval, or starts a quote conversation in Requests. A confirmed booking becomes an event on your Calendar with its own guest list, and the deposit sits in your Stripe balance.
Requirements
- A verified venue with payouts connected in Settings › Payouts. Guests can browse packages before that but can't check out. Get paid →
- An Owner or Admin role to create packages and work the Requests inbox. Invite your team →
Step 1: Add your spaces (optional)
A space is a room or area a booking can occupy: The Back Room, The Patio, Full venue. Open Packages › Spaces and add each one with a name, a description, photos, a capacity, and the earliest start and latest end a booking there can run. Mark one space as the full venue so a buyout blocks every other space for that night.
Spaces are optional. A package with no space is venue-wide and is capped per night by nightly inventory instead of by a room. Reserved tables, bottle service and birthday areas on the main floor usually work best as venue-wide packages.
Step 2: Create a package
A package is the offer a guest books. Open Packages and add one:
| Field | What it does |
|---|---|
| Name & description | Shown on your booking page. Lead with what's included: Back Room Buyout: private room, dedicated bartender, your playlist. |
| Spaces | One or more spaces the package occupies. Leave empty for venue-wide. |
| Headcount | Minimum and maximum guests. The calendar only shows this package when the party size fits, so a 20 to 60 buyout never appears for a party of 6. |
| Price & deposit | The package price and the deposit charged at checkout. The balance is settled between you and the guest. |
| Duration & window | How long the booking runs and the earliest start and latest end. A fixed-time package (every booking is 9 pm to 1 am) skips the time picker. |
| Booking mode | Instant, Approval or Custom quote. See the next step. |
| Offered days | Which days of the week the package is available. |
| Lead time & advance | How many days out the first bookable night is (default 2) and how far ahead the calendar opens (default 180). |
| Nightly inventory | Venue-wide packages only: how many bookings of this package you take per night. Empty means no cap. |
| Cancellation policy & refund window | The policy text shown before the guest pays, and the number of days before the night inside which the deposit is kept. Refunds → |
| Status | Active packages are bookable; paused ones aren't shown. |
Two packages for the same bar might look like this:
| Back Room Buyout | Reserved table | |
|---|---|---|
| Space | Back Room | None (venue-wide) |
| Guests | 20 to 60 | 4 to 8 |
| Price / deposit | $2,000 / $500 | $300 minimum / $100 |
| Booking mode | Approval | Instant |
| Cap per night | One, because the room is taken | Nightly inventory of 8 |
Step 3: Choose a booking mode
| Mode | Use it when | What happens when a guest books |
|---|---|---|
| Instant | The price is fixed and you'll take anyone who fits the headcount. A reserved table, a standard birthday package. | The deposit is charged and the night is confirmed immediately. The guest gets a confirmation by text and email. |
| Approval | You want to look at the request first. A buyout, a corporate event, anything where the occasion matters. | The guest's card is saved and the request waits in Requests for up to 72 hours. The deposit is charged when you approve. |
| Custom quote | The price depends on the event. Full-venue events with catering or staffing. | The guest sends an inquiry with no price. You reply with line items, a deposit and terms; they have 72 hours to accept and pay. |
What determines whether a night is bookable
When a guest opens your booking page, the calendar only offers nights that pass every rule below for the package they picked. A blocked night just looks unavailable; the guest is never told why.
| Rule | Where it's set | Example |
|---|---|---|
| Lead time | Package › Lead time (default 2 days) | A Back Room package with a 3-day lead time, opened on a Monday, offers Thursday as the first bookable night. |
| Advance window | Package › Advance (default 180 days) | With a 60-day window, a guest in October can book through early December and no further. |
| Offered days | Package › Offered days | A Brunch Buyout offered on Saturday and Sunday never shows a Friday. |
| Blackout dates | Calendar › Block | You blocked the Back Room on December 24 for the staff party, so no Back Room package offers that date. |
| A venue event | Events | A full-venue buyout can't be booked on a night you already have a ticketed show, because the buyout needs the whole room. Packages for a single space ignore events. |
| Another booking on the same space | Automatic | Once the Back Room is confirmed for the 14th, every other Back Room package hides the 14th. A confirmed full-venue buyout hides the 14th for every space. |
| A request awaiting your approval | Bookings settings › Pending requests block the calendar | Off by default, so two guests can both request the patio for the 21st and you pick one. Turn it on and the first request holds the patio until you decide. Inquiries for custom quotes never block a date either way. |
| Nightly inventory | Package › Nightly inventory | A Reserved table package with no space and an inventory of 8 takes eight bookings a night; the ninth guest sees that night as unavailable. |
Blocking a date yourself
Open Calendar, pick the date and choose Block. Block one space (the patio is closed for a heater repair) or the whole venue (closed December 25). Add a note for your team; guests don't see it. Blocks also cover things booked outside Mosh: if a regular reserves the back room by phone, block it so the booking page stops offering it.
How long a hold lasts
A hold keeps a night off the calendar while a booking is still being settled, so two parties can't book the same room.
| Booking state | How long the night is held |
|---|---|
| Guest is on the payment screen | 15 minutes. If the deposit isn't paid in time, the night reopens. |
| Request waiting for your approval | 72 hours by default. If you haven't approved or declined by then, the request expires and the guest is told. Whether other guests see the night as taken during those 72 hours depends on Pending requests block the calendar. |
| Quote waiting for the guest | 72 hours by default to accept and pay. Quotes don't hold the night while they wait. |
A payment that arrives after its hold has expired and the night has been taken by someone else is refunded automatically and the guest is emailed.
When the deposit is charged, and who collects the rest
| Booking mode | The deposit is charged… |
|---|---|
| Instant | At checkout, the moment the guest books. |
| Approval | When you approve the request. The card is saved at checkout and not charged if you decline or the request expires. |
| Custom quote | When the guest accepts your quote and pays from their booking page. |
The deposit lands in your Stripe balance and pays out on your normal schedule. The balance of the price is between you and the guest: a $2,000 Back Room Buyout with a $500 deposit leaves $1,500 to settle on the night or by invoice, however you run it today. The booking shows both numbers to you and to the guest.
Card entry happens on Mosh's hosted page or inside the embed popup, never on your website, so no card details or payment compliance move to you.
Step 4: Share your booking link
Settings › Website shows your booking link:
https://mosh.events/v/your-venue/book
Use it as any button's URL, in your Instagram bio, or as the Reserve link on your Google Business Profile. Every package also has its own link that opens the flow with it preselected (…/book?package=back-room), for a "Book the patio" button.
To open the booking flow as a popup on your own website instead of sending guests to Mosh, see Bookings on your website.
What the guest sees
Four steps: party size and a night (the calendar already hides nights that aren't available), a package, contact details and the occasion, then the deposit. Afterwards they get a link to their booking page where they can see the status and, once confirmed, fill the guest list.
Try it on the demo venue: mosh.events/v/the-marlow/book. Nothing is charged.
What happens after a booking is confirmed
Mosh creates an event for the booking on your Calendar, with a guest list the booking's contact fills from their booking page. On the night, the door scans those guests in like any other list. The deposit shows in Revenue with a receipt. Approving, quoting, declining and canceling all happen in Requests. Manage requests →
