Manage requests

Approve, quote, decline and cancel bookings from the Requests inbox, and know what each status means.

Requests lists every booking that isn't settled yet, newest first. The sidebar badge counts the ones waiting on you: approval requests and inquiries that need a quote.

Approving, declining and quoting

Open a request to see the package, the night, the headcount, the occasion, the guest's notes and their contact details. Then:

ActionWhen it appliesWhat happens
ApproveApproval packagesThe night is confirmed and the deposit is charged to the card the guest saved. They get a text and an email.
DeclineApproval packages and inquiriesThe night reopens and the guest is told. Add a short reason; it's included in the message.
Send a quoteCustom-quote packagesYou set the deposit, optional line items (Full venue, 5 hours: $4,500) and terms. The guest has 72 hours to accept and pay from their booking page, after which the booking is confirmed.
CancelConfirmed bookingsThe event comes off the Calendar. You choose how much of the deposit to refund, guided by the package's refund window. See below.

An approval request that sits for 72 hours expires on its own, the night reopens, and the guest is told to book again.

How long you have to respond

Your response time in Bookings settings (default 24 hours) is what the guest is promised in their confirmation text, so a request on Friday night should have an answer by Saturday night. It's a promise, not a timer; the 72-hour hold is the hard limit.

Canceling a confirmed booking and refunding the deposit

Each package has a refund window: the number of days before the night inside which the deposit is kept. With a 14-day window, a guest who cancels a $500 deposit 20 days out gets the full $500 back and one who cancels 10 days out gets nothing, unless you decide otherwise. The policy text is shown to the guest before they pay.

When you cancel from Requests, Mosh suggests the refund the window calls for and you can change it: full, partial or none. A package with no window set falls back to the venue-wide default in Bookings settings, and if that's empty too, you choose on each cancellation. The refund goes back to the original card and is recorded against the original receipt. Refunds →

What each status means

StatusMeaningWhat moves it on
InquiryA custom-quote request. No date hold, no money. You send a quote → Quoted
QuotedYou've sent a price and deposit. The guest has 72 hours to accept.Guest accepts and pays → Confirmed; 72 hours pass → Expired
Pending approvalAn approval request waiting on you. Held for 72 hours. You approve → Confirmed; you decline → Declined; 72 hours pass → Expired
Pending paymentThe guest is on the payment screen. Held for 15 minutes.Payment succeeds → Confirmed; 15 minutes pass → Expired
ConfirmedBooked. Deposit paid. An event exists on the Calendar.Night happens → Completed
CompletedThe night has passed.
DeclinedYou said no to a request.
WithdrawnThe guest pulled the request before it was confirmed.
ExpiredA hold ran out before approval or payment.
CanceledA confirmed booking was canceled, by you or the guest.

A booking in Pending payment always blocks the night for other guests. A booking in Pending approval blocks it only if Pending requests block the calendar is on in Bookings settings. Inquiries and quotes never block a night.

Finding an old request

Filter by status (needs action, upcoming, past) and search by the guest's name. Declined, expired and canceled bookings stay in the list for the records.

What the guest sees while they wait

Each booking has a private page the guest reaches from their confirmation text. It shows the status, the deposit receipt, the night and, once confirmed, the guest list they can fill. They can withdraw a request from there at any point before it's confirmed.

Note

A confirmed booking that has money on it can't be deleted, only canceled. The receipt stays.
